Personnel card

Employee ID Card

There are various types of employee identification cards issued for different categories of personnel, including government officials, budget and non-budget employees, university staff, security guards, extraordinary employees, competitive track employees, and temporary foreign employees. Additionally, there are cards for employees with special knowledge or skills, dental clinic staff with salaries paid through the payroll system, retired civil servants (pensioners), and external individuals such as postdoctoral researchers, C2F project researchers, part-time lecturers, and researchers hired directly by faculties or departments who are responsible for paying salaries outside the payroll system. 

There are two options for the creation of employee identification cards as follows:

  1. Employees can contact the Human Resources Management Office, Benefits Section, Chamchuri 5 Building, 5th Floor, to create their ID card.
    • Bring the old employee ID card or national ID card. 
    • A current photo (not older than 6 months), size 1 inch or 2 inches, 1 copy (front view, no glasses, and in formal attire). The photo will be scanned and uploaded into the CUERP S/4 system. If a new photo is desired, there is a photo-taking service available at the ID card issuance location. 
    • Note: The ID card can be received immediately. 
    • For retired government officials or those who resigned from the university, they can request an ID card as a government pensioner. 
    • For government officials changing their status but still members of the Government Pension Fund, they cannot request an ID card for government pensioners because they are not yet classified as monthly pensioners. 
  1. Employees or departments/units can request an ID card through the CUERP FIORI application (https://www.Cuerpapp.chula.ac.th), except in the following cases:
    • New employees who have never had an employee ID card. 
    • Retired government officials. These individuals cannot request their ID cards through the CUERP FIORI application and must contact the Human Resources Management Office directly. 
    • External individuals, such as post-doctoral researchers (via the Graduate School), C2F project researchers, adjunct faculty, and researchers who are employed directly by the faculty/unit and paid outside the Payroll system, must submit a request to the management for approval to issue an ID card. 

The validity period of the employee ID card 

  1. The card is valid according to the employment contract but shall not exceed 6 years from the date of issuance. 
  2. The card is valid for a lifetime for retired civil servants who have reached the age of 70 or older. 

The issuance of personnel ID cards includes the following cases: 

  1. First-time request for an ID card 
  2. Expired card (can request a new card 7 days before expiration) 
  3. Lost card (a copy of the police report required) 
  4. Change of position 
  5. Change of title/name/surname 
  6. Damaged card 
  7. Other cases 

Note: In all cases, the information in the CUERP S/4 system must be updated before requesting the issuance of a personnel ID card. 

Frequently Asked Questions

  • Bring the expired previous personnel ID card or national ID card to request a new one. 
  • A copy of the contract extension or employment order to verify the information in the CUERP S/4 HANA PRD (SAP) system in case the contract extension has not been updated in the CUERP S/4 HANA PRD (SAP) system. 
  • A front-facing photo (1 inch or 2 inches) for scanning into the SAP system, in case you do not wish to take a photo at the card issuance location. 
  • Personnel can visit the Human Resources Office, Chamnamporn Building 5th Floor, Monday to Friday during business hours (8:00 AM - 5:00 PM) to request a new ID card in person. 
  • Personnel can also apply for a new ID card by themselves through the CUERP FIORI (CUERP Application) system. 

The photo must be taken without glasses, except for prescription glasses. 

  • Request for expired card / lost card / damaged card / position change / change of title-name-surname. 
  • For the case of requesting a first-time card, personnel must contact the Human Resources Management Office at Chomchuri 5 Building, 5th floor, Monday to Friday during office hours (8:00 AM - 5:00 PM). 
  • The staff ID card is valid according to the employment contract but not exceeding 6 years from the date of issue. 
  • Lifetime validity for the pensioned civil servant ID card (retirement) for those who are 70 years old or older. 

Staff can renew their expiring ID card up to 7 days before the expiration date. 

If you choose to continue with the Government Pension Fund (GPF), you will not be entitled to receive the pensioner ID card, as you have not yet received a pension. Therefore, you can only apply for the university staff ID card. 

If you choose not to continue with the Government Pension Fund (GPF), you will receive two cards: the pensioner ID card and the university staff ID card 

Retired civil servants (pensioners) can renew their card up to 7 days before the expiration date, or they can contact to issue a new card after the card has expired. 

The pensioner's civil servant ID card will specify the last position held before retirement.
